Please only provide information that is relevant to the service.
4. How we use your information
We may use your personal information to:
- Respond to consultation requests and enquiries
- Decide whether our services are suitable for you
- Arrange and deliver nutrition-coaching services
- Create personalised nutrition guidance, meal structures and resources
- Monitor progress and adjust your coaching
- Communicate with you about your service

- Handle complaints or establish, exercise or defend legal claims
We will not use your information for unrelated purposes without explaining the new purpose and identifying an appropriate legal basis.
5. Our lawful bases
Under UK data-protection law, we must have a lawful basis for using personal information.
Depending on the circumstances, we rely upon:
- Steps before entering a contract: when responding to an enquiry or discussing a potential coaching service.
- Performance of a contract: when information is required to provide services you have purchased.
- Legitimate interests: to operate, secure and improve Fuelled By Chef and respond to genuine business enquiries.
- Legal obligation: where records must be retained for tax, accounting or other legal purposes.
- Consent: where you have actively agreed to a particular use, such as optional marketing communications.
Where we process health information or other special-category data for personalised coaching, we will normally rely on your explicit consent.
You may withdraw this consent at any time by contacting us. However, withdrawing consent may prevent us from continuing to provide personalised coaching where that information is necessary to deliver the service safely and appropriately.
Withdrawing consent does not affect the lawfulness of processing carried out before consent was withdrawn.
6. Marketing communications
Submitting a consultation form does not subscribe you to a marketing list.
We will only send promotional emails where you have specifically agreed to receive them or where another lawful basis permits us to do so.
You may unsubscribe at any time using the unsubscribe link included in an email or by contacting jonathan@fuelledbychef.com.
7. Sharing your information
We do not sell or rent personal information.
We may share limited information with trusted service providers where this is necessary to operate the website or deliver our services. These may include:
- Fasthosts, which provides website-hosting services
- Titan Email, which provides email services
- Website maintenance, security or technical-support providers
- Accountants, insurers or professional advisers
- A payment provider, once online payment facilities are introduced
- Government authorities, regulators or law-enforcement bodies where disclosure is legally required
Service providers are only permitted to use information for the services they provide to us and must handle it securely.
If we introduce a payment provider, analytics service, advertising pixel, booking platform or email-marketing service, this policy and our cookie information will be updated before that service is used.
8. Payments
Fuelled By Chef does not currently collect card details through this website.
If online payments are introduced, payments will be processed by an authorised third-party payment provider. Fuelled By Chef will not directly receive or store complete payment-card details.
The relevant payment provider may collect and process information under its own privacy policy.
Business transaction and accounting records may be retained where required for tax, accounting and legal purposes.
9. International transfers
Some technology providers may process or store information outside the United Kingdom.
Where personal information is transferred internationally, we will take reasonable steps to ensure an appropriate legal safeguard is in place, such as UK adequacy regulations or approved contractual protections.
10. How long we retain information
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected.
Our usual retention periods are:
- Unsuccessful enquiries: up to 12 months after the last communication
- Active client information: throughout the coaching relationship
- Coaching and progress records: normally up to three years after coaching ends, unless a shorter or longer period is justified
- Contracts, invoices and financial records: up to six years where required for tax, accounting or legal purposes
- Marketing information: until you unsubscribe or withdraw your consent
We may retain particular information for longer where necessary to meet a legal obligation, comply with insurance requirements or establish, exercise or defend a legal claim.
Information that is no longer required will be securely deleted or anonymised.
11. How we protect your information
We use reasonable technical and organisational safeguards designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.
These measures include limiting access to client information, using password-protected accounts, maintaining website security controls and using established service providers.
No internet or email system can be guaranteed to be completely secure. Please avoid sending unnecessary medical information or highly sensitive documents through ordinary email.
12. Cookies and website technology
The website may use cookies or similar technologies that are strictly necessary for security, administration and essential website functions.
We do not currently use advertising pixels or non-essential analytics cookies. If non-essential cookies are introduced, visitors will be provided with appropriate information and consent choices before those cookies are activated.
You can manage or delete cookies through your browser settings. Disabling essential cookies may affect how parts of the website operate.
13. Your data-protection rights
Depending on the circumstances, you may have the right to:
- Request access to the personal information we hold about you

- Ask us to delete your information
- Ask us to restrict how your information is used

These rights are not absolute and may be subject to legal exceptions.

14. Automated decision-making
Fuelled By Chef does not currently use personal information to make decisions that have legal or similarly significant effects through solely automated processing.
Nutrition plans and coaching recommendations involve human review and professional judgement.
15. Photographs, testimonials and case studies
We will not publish an identifiable client photograph, testimonial or case study without obtaining separate permission.
You may withdraw permission for future use by contacting us. Withdrawal will not necessarily affect material that has already been lawfully printed or published, although we will take reasonable steps to remove it from channels under our control.
Where practical, case studies may be anonymised or presented using limited identifying information.
16. Links to other websites
Our website may contain links to third-party websites or services. Fuelled By Chef is not responsible for how those organisations collect or use personal information.
